In the Kuika Process Automation module, task assignment is a critical step for managing specific steps in business processes and routing them to the right people. Kuika Process Automation offers flexible assignment methods that allow tasks to be assigned based on user roles, competencies within business processes, or defined rules. This enables workflows to be customized according to specific needs.
Under the Assignment → Type field in the Properties panel, there are four assignment types:
1. Everyone
The task is placed in a task pool. All users can view this task; any team member who wishes to can claim it and complete it. This is used for tasks that can be shared within the team and do not require assignment to a specific individual.
2. Role (Role-Based Assignment)
The task is assigned to a specific role defined in the system.
3. Dynamic Assignment
The task is directed to a user or role dynamically determined based on process variables. The Field to Get Information field is used to select the data that determines which user or role the task will be assigned to.
4. External Users
Allows external users outside the application (such as customers, subcontractors, or guest users) to be assigned to a task. It is used in cases where a step in the process must be completed by someone who is not a registered user of the system.
The Use Lane toggle in the Properties panel determines whether task assignment uses the lane structure in the diagram. The lane structure is used on the Canvas to visually display tasks for different user groups or roles in separate lanes, making it easier to see who is responsible at each stage of the process.
Thanks to these assignment methods, Kuika Process Automation ensures that tasks are directed to the correct users and helps business processes run efficiently. The flexible assignment structure boosts business efficiency while preventing process disruptions by clarifying user responsibilities.
