Process Automation Viewer Usage Scenario

Kuika's Process Automation Viewer element is used to visually display the status of a running process on a workflow diagram prepared during the design phase. Users can instantly see which step the process is at, its progress status, and potential bottlenecks thanks to this element.

The Process Automation Viewer element is only supported in web applications.

Areas of Use

  • Monitoring the status of approval and authorization processes,
  • Tracking purchasing, ordering, or invoicing processes,
  • Displaying human resources workflows (recruitment, training, performance evaluation),
  • Visualizing the stage of technical support requests, etc.

Use Case – Purchase Process Tracking

A company puts purchase requests made by its employees through approval processes.

  • Thanks to the Process Automation Viewer, the user can see which stage of the “Request Created → Manager Approval → HR Department → Completed” steps the request is in.
  • Steps awaiting approval are visually highlighted.
  • This makes the process transparent and easy to follow.
  • If you drag it to an empty area, it automatically comes with Row/Column.

Using Features in a Scenario Context

  • Process Instances
    • Description: Represents a specific instance of the workflow.
    • Usage: Used to track the steps, progress status, and transitions of each instance.
    • Example:
      • In the purchasing process, a separate Process Instance is created for each request.
      • The user can see which step the request is in via the Viewer.

When the Scenario Step is Completed

  • The user sees the current step of their request in the purchasing process.
  • The user can easily track the progress in the process.

Limitations

  • Works only in web applications.
  • Visualization can be dense in very complex processes; steps should be grouped.

Tips and Best Practices

  • Use descriptive names for each Process Instance (e.g., “Purchase Request – 12345”).
  • Standardize color codes to enhance the user experience.
  • Improve readability in large processes by using zoom and pan features.
