AI Chatbot — Credit, Limit, and Analytics Management

1. Overview
On the Kuika platform, there is a management dashboard where you can manage the credit consumption, usage limits, and detailed usage analytics of the AI Chatbot feature used in your workspace. You can access this dashboard by logging into the platform, clicking the gear (Settings) icon on the left sidebar, and selecting the AI Chatbot tab from the menu that opens.
The AI Chatbot management screen consists of three tabs:
Credits: View your workspace’s credit balance and purchase new credits.
Token Limits: Limit members’ AI usage based on weekly/monthly credit quotas.
Analytics: Analyze credit and token consumption, chat counts, and active member information over time.
2. Credits Tab
This tab allows you to manage the credit system used by your workspace’s AI Chatbot.
The AI Chatbot operates through a shared credit pool used by all members in your workspace. Every new workspace starts with a free welcome bonus; additional credits can be purchased at any time once the credits run out. Longer conversations and more advanced models consume credits faster.
2.1. Available Credits
The information card at the top of the screen displays the following data:
Available Credits: The total amount of credits currently available in the workspace.
Welcome Bonus: The free starting credits assigned when the workspace was created.
Total Purchased: The total amount of credits purchased so far.
Total Used: The total amount of credits used so far.
Remaining: The remaining amount of available credits (shows the same value as “Available Credits”).
2.2. Add More Credits (Purchasing Credits)
When your credit balance runs low, you can purchase additional credits by selecting one of the package options at the bottom of the screen:
You can choose from pre-set packages (e.g., $5 / 500 credits, $20 / 2,000 credits, $50 / 5,000 credits, $100 / 10,000 credits).
With the Custom option, you can create a custom credit package for any amount you wish.
The most popular package is highlighted on the screen with the “POPULAR” label.
Payment transactions are securely processed through the Stripe platform; credits purchased are reflected in the workspace as soon as the payment is approved.
3. Token Limits Tab
This tab allows you to set limits on how many credits each member can use weekly or monthly to keep AI spending predictable. Members see a warning when they approach the defined limit; what happens when the limit is reached is determined by the administrator.
3.1. Workspace Policy
This section defines the general (default) usage policy applied to all members who do not have a specific limit:
Weekly Limit: Sets the maximum amount of credits a member can use within a week. When the toggle is off, it operates as “No limit” (unlimited); when turned on, a credit value can be entered.
Monthly Limit: Sets the maximum amount of credits a member can use within a month. It can also be enabled or disabled using the toggle.
When a Member Hits Their Limit: Determines how the system will behave when a member reaches the defined limit:
Block: The member’s chats are completely suspended (rejected) until the limit period (week/month) is reset.
Warn: A warning is displayed to the member, but usage is not blocked.
Limits are always measured in credits.
Changes are saved using the Save button; the Revert button can be used to undo the last unsaved changes.
3.2. Per Member (Member-Specific Limits)
While the Workspace Policy applies to all members by default, custom limits can be defined for specific members via the Members table, or members can be exempted from the general policy.
The table lists the following information for each member:
Member: The member’s name and email address.
This Week / This Month: The amount of credit the member has used during the relevant period and the defined limit (e.g., “0 · no limit”).
Limits: The limit policy applied to the member (by default, “Default”—uses the Workspace Policy).
Status: The member’s limit status (e.g., “OK”—no limit exceeded).
Edit: By clicking on the relevant member or using the “Edit” button, you can define a custom limit for that member or exempt them from the general policy.
You can filter by the Member, This Week, This Month, Limits, and Status fields using the filter icons in the table headers.
4. Analytics Tab
The Analytics tab allows you to monitor AI Chatbot usage in your workspace in detail. Through this tab, project managers can see which member is using which model, how frequently, and how many credits/tokens they are spending.
4.1. Selecting a Time Range
At the top of the screen, you can select the period to be analyzed from the following preset options:
7d (last 7 days)
30d (last 30 days)
90d (last 90 days)
This month (this month)
The selected range is displayed in date format in the upper-right corner of the screen (e.g., “May 14 – Aug 12”).
4.2. Usage Analytics (Usage Summary)
A dark-colored information card containing summary metrics for the selected period is displayed:
Credits Used: The total amount of credits consumed during the relevant period.
Chats: The total number of chats initiated/conducted during the relevant period.
Tokens: The total number of tokens processed during the relevant period; additionally, the incoming (in) and outgoing (out) token counts are displayed separately (e.g., “793.7K in · 39.9K out”).
Active Members: The number of members who used the AI Chatbot at least once during the relevant period.
If no AI interactions occurred during the selected period, all values are displayed as “0,” and the message “No AI activity in this period — Usage will appear here as your team chats with the AI” is shown in the chart area.
4.3. Credits Used Chart
Below the Usage Analytics card, there is a line chart showing the change in credit consumption over time.
The chart data can be grouped by day, week, or month using the Day / Week / Month options.
Dates are shown on the horizontal axis, and the amount of credits consumed is shown on the vertical axis.
Periods of increased usage can be seen as distinct peaks on the chart, making it easy to identify abnormal or periods of heavy usage.
4.4. Where Credits Go (Credit Distribution)
This section allows you to view how credit consumption is distributed. You can switch between three different breakdowns using the tab selector at the top:
Members: Lists the members who consume the most credits, along with the number of credits they used and the number of chats they conducted (e.g., “Furkan Ceylan — 179 credits · 17 chats”).
Projects: Lists the projects that consume the most credits.
Models: Lists the AI models that consume the most credits (e.g., openai/gpt-5.4, openai/gpt-5.4-nano).
The list is sorted from highest to lowest consumption, and each row displays the row number, the name of the relevant member/project/model, and a summary of consumption.
4.5. Recent Requests
This table lists a detailed log of each AI request, row by row. It can be used for auditing, debugging, and assessing usage quality.
Fields in the table:
When: The date and time the request was made.
Member: The email address of the member who sent the request.
Project: The project associated with the request (requests not matched to a project are displayed as “Unattributed”).
Model: The AI model used for the request (e.g., openai/gpt-5.4, openai/gpt-5.4-nano).
Credits: The amount of credits spent on the request.
Tokens: The number of tokens processed for the request.
You can filter by the relevant field using the filter icon in each column header. Additionally, you can perform a free-text search across records using the Search box at the top. The table is displayed in paginated sections using the pagination controls at the bottom of the page.
5. Use Case: Credit and Usage Monitoring
A workspace owner wants to monitor their team’s use of the AI Chatbot and set limits if necessary.
Steps:
Click the gear icon in the left sidebar and go to the AI Chatbot tab.
Check the current credit balance in the Credits tab; if the balance is low, purchase credits by selecting an appropriate package.
Go to the Analytics tab and select the desired time range (7d / 30d / 90d / This month).
From the Where Credits Go section, select the Members tab to identify the members who are consuming the most credits.
If you find that a specific member is using too many credits, go to the Token Limits tab, locate the relevant member in the table, and use Edit to set a custom weekly/monthly limit.
From the Recent Requests table, you can filter requests made on a specific date or using a specific model to conduct a detailed review.
Expected System Behavior:
All data in the “Analytics” tab is updated in real time based on the selected time range.
Limits defined in the “Token Limits” tab take effect starting with the member’s next AI request after they are saved.
A member who reaches the limit cannot submit new requests if the ‘Block’ policy is defined; if the “Warn” policy is defined, they will receive a warning but can continue using the service.
